Refund Policy

Last updated: 4 June 2025

This Refund Policy sets out the circumstances under which USA Summer Camp (“USASC”, “we”, “our”, or “us”) will offer a refund in relation to our programmes. By submitting your application and paying your deposit, you agree to the terms below. This policy is written in accordance with UK consumer protection regulations and reflects the unique nature of our services.

1. Service commencement and cooling-off period

Your place on the programme and access to USASC services begin immediately upon payment of your deposit. This includes:

Due to the nature of our services and their immediate commencement, the standard 14-day cooling-off period does not apply. Additionally, chargebacks are not valid in relation to USASC programme payments.

2. General refund policy

All fees paid to USASC are non-refundable, unless expressly stated otherwise in this policy.

This includes:

3. Rolled-over applications

If your application has been deferred from a previous season, you are not entitled to a refund if you later choose to cancel your participation. This includes any fees already paid and any costs incurred as part of the original or new application cycle.

4. Changes to application details

Once accepted onto the programme, if you make any changes to your application that USASC reasonably believes may negatively impact your ability to be placed, we reserve the right to withdraw your application.

This includes:

No refund will be issued if your application is withdrawn on these grounds.

5. Third-party and ancillary costs

USASC is not responsible for any fees you pay to third-party providers, including:

These fees are typically non-refundable, and you must contact the relevant provider regarding any potential refund.

6. Unplaced applicants

If you have not secured a placement by 7 July of your programme year and meet the following criteria:

— then you are entitled to a full refund of fees paid to USASC, minus a £100 administrative fee.

This refund constitutes the full extent of USASC’s liability, as additional damages for non-participation are impossible to calculate.

You will not be eligible for a refund if:

7. Visa denials

If your J1 visa application is refused, delayed or suspended by the US Government, all fees paid to USASC are non-refundable.

Please note:

8. Programme cancellation by USASC

If your application is cancelled by USASC due to unforeseen or extraordinary circumstances — including but not limited to:

— then fees will not be refunded.

However, you will receive a credit equal to 40% of the total programme fee (excluding visa, SEVIS, and travel costs), which may be used towards any future USASC programme within 12 months of cancellation.
